How GK Healthcare, a UK recruitment company, cut reconciliation to one 30-minute run a week
GK Healthcare is a UK recruitment company. Its Director of Finance was spending about two days a week on reconciliation. It's now one 30-minute run a week. This is how it happened, in three steps.
1. Write down the starting point
Before building anything, we mapped how reconciliation was actually done and how long it took: about two days a week. On our five-stage ladder that process sat at Stage 2, Digitised. The information was in systems, but a person still keyed it, checked it and moved it along.
Writing the baseline down matters. Without it, nobody can say a few months later whether anything changed.
2. One small use case, with a person checking
We didn't try to "do AI" across the business. We picked reconciliation only. We set it up ourselves using fixed rules plus AI, and kept human checks in: the Director of Finance reviews the output before it counts.
3. Score it again
It's now one 30-minute run each week. On the ladder that's Stage 4, Agent-assisted: AI reads and matches the work, and the Director of Finance checks and approves it.
What happened next
We turned the build into Axis, our reconciliation software for recruitment and staffing agencies.
What to take from it
- Start with one process, not a strategy deck.
- Measure the before, so the after means something.
- Keep a person signing off. For a lot of work, stage 4 is the right place to stop.
