Case study · GK Healthcare, a UK recruitment company
From about 2 days a week to one 30-minute run.
GK Healthcare is a UK recruitment company. Its Director of Finance was spending about two days a week on reconciliation. We mapped the process and set up Axis for them. Now it's one 30-minute run each week, and the Director of Finance checks the output.
1. Baseline
We mapped how reconciliation was done and how long it took: about two days a week of the Director of Finance's time. On the ladder, that was Stage 2 (Digitised): the information was in systems, but people still keyed it, checked it and moved it along.
2. One small use case
Reconciliation only. We built it ourselves using fixed rules plus AI, with the Director of Finance checking the output before it counts.
3. Re-score
It's now one 30-minute run a week. On the ladder, Stage 4 (Agent-assisted): AI reads and matches the work, and the Director of Finance checks and approves it.
4. What happened next
We turned the setup into Axis, reconciliation software for recruitment and staffing agencies. GK Healthcare runs its reconciliation on it.
"That is an amazing system you made. Honestly, mind blown."Moeed Hussain, Director of Finance, GK Healthcare
On the ladder
- Stage 1: ManualDone by hand, on paper, in inboxes or from memory, and it depends on who's in that day.
- Stage 2: DigitisedBeforeThe information sits in a system or spreadsheet, but people still key it in, check it and move it along.
- Stage 3: AutomatingFixed rules move or check the data on their own, and staff deal with the exceptions.
- Safety basics needed above here: AI policy, DPIA, human reviewStage 4: Agent-assistedAfterAI reads, matches or drafts the work, and a named person checks and approves it before it counts.
- Stage 5: AgenticAI runs the process within limits you set, logs what it did and hands anything unusual to a person, who still owns sign-off.Not every process should get here.
Above here, you need safety basics such as an AI policy, a data protection impact assessment and human review.
